Privacy Policy
This policy explains what Sella collects, why we collect it, and how we handle protected health information for home health, home care, and hospice agencies.
1. Who we are
Sella Health, Inc. (“Sella,” “we,” “us”) provides an eligibility product for home health, home care, and hospice agencies. This policy covers sellahealth.com, the Sella iOS and Android apps, and related APIs.
Clearinghouse or Medicare submitter functions may be performed by an affiliated entity, including Electronic Health Exchange LLC, under the same privacy practices described here.
2. Scope
Sella is a business-to-business tool. Agency staff sign in with their work account. We do not offer a consumer-facing patient app, and we do not sell advertising.
This policy does not replace a Business Associate Agreement (BAA) with your agency. If you have a signed BAA, that agreement controls how we handle protected health information (PHI) for your organization.
3. Information we collect
Website visitors
If you book a demo, we collect your name, work email, agency name, and role so we can respond. Demo requests are sent to our team (currently via email to abe@sellahealth.com unless a form endpoint is configured).
The marketing site is hosted on Vercel. Like most websites, the host may receive standard technical data such as IP address, browser type, and the pages requested, in order to serve the site and keep it secure. We do not run advertising pixels or a marketing-analytics SDK on this site.
Sella app and product users
When an agency user signs in, we collect:
- Work identity from Microsoft Entra ID (such as name, email, and tenant identifiers)
- Agency and user settings needed to run eligibility checks
- Patient or member details the user enters to run a check, which may include name, member ID or Medicare Beneficiary Identifier (MBI), date of birth, payer, and related coverage information
- Eligibility requests and responses, including history the user is authorized to see
- Optional insurance-card or face-sheet images, used to help fill the check form
- Device and app diagnostics such as app version, platform, and sanitized error reports
If the user enables Face ID, Touch ID, or similar biometrics, that check happens on the device. We do not receive biometric templates. We only store a local flag that faster sign-in is enabled.
On-device card scanning
Camera and photo-library access are used only to capture an insurance card or face sheet. Text recognition runs on the device to suggest form fields. Images are not used for advertising. Do not include patient information in screenshots or crash reports.
4. How we use information
We use information to:
- Authenticate users and keep sessions secure
- Run eligibility checks against payers and return a verdict to the authorized user
- Apply the agency’s contracted-payer and business rules
- Show history, notes, and shareable summaries the user requests
- Operate, secure, and troubleshoot the product
- Respond to demo requests and support questions
- Meet legal, contractual, and payer-network obligations
We do not sell personal information or PHI. We do not use PHI for marketing.
5. Protected health information
Eligibility data can include PHI. We handle that information as a business associate for covered-entity customers, under HIPAA and your BAA. PHI stays scoped to the customer’s tenant. Workforce access is limited to people who need it to operate the service.
Sella does not diagnose, treat, or make coverage determinations on behalf of a payer. A Sella verdict is an operational reading of payer and program data for the agency user. It is not medical advice and not a guarantee of payment.
6. How we share information
We share information only as needed to provide the service:
- With the customer’s authorized users
- With payers, CMS (including HETS), and eligibility networks or clearinghouses the check requires
- With infrastructure and identity providers that host or authenticate the product
- When required by law, or to protect Sella, our customers, or the public
- In a merger, acquisition, or similar transaction, with appropriate safeguards
We do not share information with advertising networks.
7. Service providers
We use vendors to operate Sella, including:
- Microsoft (Entra ID sign-in and Azure hosting of the product API)
- Vercel (this website)
- Eligibility and clearinghouse connections required to complete a check (for example CMS HETS and commercial eligibility networks)
- Apple and Google, only as needed to distribute the mobile apps
Vendors that handle PHI do so under appropriate agreements. A current list is available to customers on request.
8. Retention
We keep information for as long as needed to provide the service, meet payer and legal record requirements, resolve disputes, and enforce agreements. Customer-controlled records follow the retention terms in the customer agreement or BAA. Demo-form messages are kept only as long as needed to respond.
9. Security
We use administrative, technical, and physical safeguards appropriate to the sensitivity of eligibility data, including encryption in transit and at rest, tenant isolation, and authenticated access. See our Security and HIPAA notice for more detail. No method of transmission or storage is perfectly secure.
10. Your choices and rights
Agency users can sign out, and may be able to update profile details inside the product or through their Microsoft Entra administrator. Patients and members should contact the agency that ran the check, not Sella, for rights requests about their health information, unless the law requires us to respond directly.
Website visitors can ask us to delete a demo request by emailing abe@sellahealth.com.
Depending on where you live, you may have additional privacy rights. We will not discriminate against you for exercising them. Submit requests to abe@sellahealth.com.
11. Children
Sella is not directed to children. The product is for agency workforce use. We do not knowingly collect personal information from children for the marketing site.
12. International users
Sella is operated from the United States. If you access the site or product from elsewhere, you understand that information may be processed in the United States.
13. Changes
We may update this policy as the product changes. The “Last updated” date at the top will change when we do. Material changes will be posted on this page.
